Apprenticeship as an Office Management Clerk

Effective August 1, 2014, the Office Management Specialist will become a newly designed, recognized apprenticeship program. It combines the three professions of Office Clerk, Office Communications Specialist, and Office Communications Technician into a single occupation. Trainees are trained in companies across industry, skilled trades, and commerce, as well as in public administration.

During your training, you’ll learn a wide range of tasks involved in handling complex office and business processes. You’ll also deal with work organization as well as information, communication, and cooperation within the company or institution.

Your Responsibilities at Zittau/Görlitz University of Applied Sciences

During your 3-year training program, you will rotate through the various departments of the University Administration. Here, you will learn, among other things, how to draft business letters, file notes, and compile statistics. You will plan, coordinate, and monitor schedules; answer phone calls; and sort and distribute incoming mail. You will familiarize yourself with the procurement process, starting with issuing requests for proposals, placing orders, and checking incoming goods.

For information sessions, education fairs, open houses, or similar events, you will plan the organizational logistics and make the necessary arrangements.

When traveling outside the business area, you find the shortest route to the destinations and reserve or book hotel rooms near the event.

You’ll also assist the in-house print shop with the production of printed materials. As you can see, this career offers a wide variety of tasks.

Training Program

You will acquire both theoretical and practical skills and competencies at the Zittau Vocational Training Center and through your placement in the University Administration.
In addition, during a six-month inter-company* training phase, you will gain knowledge of payment and credit transactions as well as accounting.

What’s important?

  • Flexibility, as you’ll need to switch quickly between different tasks
  • Good knowledge of German and English is important for internal and external correspondence
  • A good grasp of mathematics and basic arithmetic is required to perform cost accounting or bookkeeping entries
  • Computer skills make it easier to work with application programs
