Project Administration Clerk (m/f/d) - Keyword: SB Projects -

Zittau/Görlitz University of Applied Sciences, Treasury Office & Project Administration (DFP), Type of position: Substitute (20 hours/week), Application deadline: 05.03.2023

At the Zittau/Görlitz University of Applied Sciences, Treasury Office & Project Administration (DFP), a position (20 hours/week) as Project Administration Clerk (m/f/d) - Keyword: SB Projects - is to be filled as soon as possible within the framework of a substitution regulation

to be filled until 31.01.2024 at the latest.

In addition, the university is seeking a temporary increase (30 hours/week). If the need for representation should continue to exist, an extension is envisaged.

The job includes the following tasks in particular

  • Administrative and financial management of projects of the HSZG financed by third-party funds and the Free State of Saxony, such as

    • Maintaining project files,

    • Preparation of payment requests and proof of payment,

    • Monitoring and release of funds,

    • Financial controlling of personnel deployment in the projects,

    • deadline control,

    • Independent organization and monitoring of external audits and processing of appeals.

  • Contact person for project managers with regard to administrative and financial issues before and during the project period, including the preparation of forecasts and the development of proposed solutions in the event of deviations,
  • Independent communication with project sponsors/funding bodies and companies.

 

The following knowledge and skills are required

  • University degree, preferably in administration or economics or a comparable field of study,
  • Knowledge of relevant legal systems and regulations
  • High level of communication skills, in particular addressing internal and external stakeholders in an appropriate manner
  • a working knowledge of English,
  • analytical, interdisciplinary thinking and quick comprehension skills,
  • Confident handling of MS Office, especially Excel, affinity for digital solutions.

 

The following are also desirable

  • Knowledge of the structure and organization of university business processes
  • Knowledge and experience in university accounting, third-party funding administration and university-specific funding regulations and programs,
  • Knowledge of the HIS software used at the university,
  • Practical professional experience in administrative and financial project management

If the personal and professional requirements are met, remuneration will be paid up to pay group 9b TV-L. The 1st place of work is Zittau. A probationary period will be agreed.
