The University of Applied Sciences Zittau/Görlitz (HSZG) is seeking to fill a position (40 hours/week) at the earliest possible date as

 

Advisor to the Rector (m/f/d)

- Reference: RR -

 

to be filled on a permanent basis. 

The activities of the job holder (m/f/d) include the active support of the Rector or Rectorate in operational and strategic tasks paired with modern office and communication management. It includes the following tasks in particular:

  • Preparation and follow-up of consultations, management decisions and representative tasks, such as
    • Preparation and follow-up of the Rector's appointments and meetings of the Rectorate, including taking minutes,
    • Planning, drafting and monitoring proposals, draft resolutions, presentations, lectures, etc. of the Rectorate,
    • Provision of current information, announcements, publications and other contributions from the Rectorate, e.g. for publication by the press office,
    • Monitoring the implementation of stipulations made by the Rectorate, the Senate and, if applicable, other internal university committees and the state government,
    • Independently advising those responsible from all structural units and university self-administration bodies,
  • Coordination and communication
    • Participation in the implementation and management of strategically relevant university projects,
    • Organization and coordination of cross-faculty and cross-university projects,
    • Participation in the content planning and organization of the Rector's ceremonial events (e.g. enrolment ceremonies),
    • Preparation of internal and external reports for the Rectorate as part of reporting obligations,
    • Cooperation with the relevant departments of the Saxon ministries, with the German Rectors' Conference/Landesrektorenkonferenz, with universities and with regional institutions,
  • Management of the Rector's Office
    • Preparation, guidance, assurance and control of the tasks to be carried out by the staff of the Rector's Office,
    • Coordination and responsibility for internal and external university correspondence,
    • Budget control and monitoring of financial resources in the Rector's area of responsibility,
    • Organization of the contact point to the HSZG e.V.

The following knowledge and skills are required

  • Completed academic university studies related to the above-mentioned area of responsibility
  • Relevant organizational and management skills,
  • several years of professional experience in the German or international higher education or research sector, preferably in the Free State of Saxony,
  • sound knowledge and practical experience in the above-mentioned areas of responsibility,
  • knowledge and practical experience in the use of modern communication and management tools
    (use of web-based formats and data systems, work with online networks and video conferencing systems and similar),
  • very good written and spoken German and English language skills.

In addition, the following are desirable

  • Successfully completed doctorate,
  • practical professional experience in the public sector,
  • practical experience in the higher education sector of a Saxon university and knowledge of the Saxon Higher Education Act (SächsHSG),
  • Polish and/or Czech language skills.

  • Interest in scientific and higher education policy issues,
  • an independent way of working as well as a strategic, analytical and structured way of thinking and acting,
  • an interdisciplinary and results-oriented way of working and the ability to work in complex situations,
  • a high degree of self/time management,
  • adeptness in dealing with a wide range of interlocutors and groups of people from Germany and abroad,
  • a confident manner and strong communication and cooperation skills coupled with assertiveness,
  • organizational and negotiating skills as well as conflict resolution skills,
  • loyalty, a high level of trustworthiness and reliability,
  • a high level of personal resilience and
  • Willingness to work at both locations, to participate in business trips and to organize working hours flexibly according to the requirements of the current tasks.

If the personal requirements are met, remuneration will be in pay group 13 TV-L.  The 1st place of work is Zittau.
