At the University of Applied Sciences Zittau/Görlitz, Faculty of Electrical Engineering and Computer Science', a part-time position (30 hours/week) is available at the earliest possible date as a

Dean's Office Secretary (m/f/d) - Keyword: Secretariat F-EI -

initially limited until 31.08.2024. If the holder of the position takes parental leave, the employment will be extended accordingly.

The position essentially involves the following tasks:

  • Organizing and processing the business processes of the faculty secretariat (scheduling, mail processing, visitor management, telecommunications, organizing and accounting for business trips),
  • Preparation of business letters and support in the preparation of reports, presentations and other documents,
  • Organizing and managing the faculty's internal filing system and registry,
  • Organizational preparation and follow-up of events, conferences and consultations (e.g. participant organization and administration, preparation and follow-up of documents, organization of accommodation, catering and guest reception),
  • Support in the preparation of documents, instructions and other aids for teaching and research, and
  • Preparation of contracts, time and capacity planning as well as administrative support in the area of student administration, in particular:
    - administration of contracts and control of finances for academic/student assistants, - support for student assistants, - administration of contracts and control of finances for academic/student assistants. Assistants,
    - Support for the Dean of Studies in timetabling
    - Administration, registration and control of internship contracts in the practical semester,
    - Administration and registration of diploma assignments,
    - Preparation of contracts for teaching assignments/guest lectures in the current semester,
    - Management of seminar group lists, student support,
    - Support with capacity and teaching calculations.

The following knowledge and skills are required

  • Completed vocational training as an office communications clerk or other relevant vocational training,
  • proficient in the use of modern office communications technology and software,
  • very good oral and written expression and knowledge of the applicable DIN rules,
  • knowledge of the business processes and legal framework/regulations of the Zittau/Görlitz University of Applied Sciences and
  • practical experience in the independent preparation of business letters and the handling of business transactions as well as in the preparation of presentations and
  • high communication skills.

In addition, the following are desirable

  • Knowledge of written and spoken English,
  • experience in document management and filing,
  • Practical experience in processing internal and inter-faculty business transactions, e.g. in the organization, coordination and handling of conferences, business trips and events,
  • the ability to assess the constantly changing case situations with regard to different requirements and taking into account the organization and process structure of the university as well as internal faculty peculiarities.

  • Organizational talent, independent working style and prudence,
  • a high level of commitment, target group-specific ability to reflect and react,
  • a self-confident manner and the ability to work in a team
  • Interest in further professional and personal development,
  • Willingness to work at both locations.

If the personal requirements are met, remuneration will be paid up to pay group 6 TV-L. The 1st place of work is Zittau.
